Monday.com Integration


Overview

We offer the following types of integrations with Monday.com:

  • Order Syncing - the automated pushing of consignments from Monday into MachShip, then pushing of updates back.
  • Updates Only - consignments are manually created in MachShip, and we push updates from MachShip to Monday based on a matching reference.

Order Syncing Integration

Order Syncing Workflow

  1. A row in a specific Monday board reaches a specified status (e.g., "Send to MachShip")
  2. We create a pending consignment in MachShip with:
    • Warehouse and customer details
    • Monday row reference
    • Optional product line items
  3. Order is picked and packed by warehouse
  4. Warehouse opens MachShip and searches using Monday reference
  5. Warehouse team confirms/inputs packages
  6. Team selects carrier service (can be pre-selected based on board value)
  7. Labels print
  8. Monday is updated with:
    • Carrier details
    • Consignment number
    • Stage as Manifested
    • Dispatch date
    • Estimated delivery date
    • Tracking link
    • Cost
  9. Optional updates:
    • Status events pushed to a field
    • PODs uploaded to a field

Order Syncing FAQs

Q: Can you sync orders from multiple boards?

A: Yes, we can sync from multiple boards, but they need consistent column formats for shipping-related fields.

Q: Can carrier services be pre-selected?

A: Yes, we can map carrier services based on values in your Monday board.

  1. Consignment is created in MachShip (manually, upload, or other integration)
    • Reference must match a field on the Monday board

Updates Only FAQs

Q: What happens if references don't match?

A: If the reference doesn't match a Monday row at consignment creation, no updates will be sent. Later reference changes won't trigger updates.

Q: Can we update multiple boards?

A: Yes, but each board format requires separate setup. Consistent column formats are recommended.

    • Orders sync from Monday to MachShip every 5 minutes
    • Updates sync back to Monday every 5 minutes
  • Board format considerations:
    • Consistent columns recommended for shipping fields
    • Additional columns can be added without affecting integration
  • Reference matching:
    • Must match at consignment creation

Integration Setup Process

The process for getting your integration setup is:

  1. Scoping - Reach out to our integrations team at clientintegrations@machship.com - note, if you're using MachShip via a broker, please include the account manager in CC.

  2. Approval - From there, you will be provided with a quote for any associated integration implementation costs for approval.

  3. Implementation - Once approved, implementation will begin. We will need:

    • Monday.com API key
    • Board access
    • Your preferred workflow details
  4. Handover & Testing - Once completed, we will let you know and you can conduct your own testing to confirm everything is working as expected.

Setup FAQs

Q: How long does it take to setup my integration?

The turnaround time is typically 5-7 business days from when we receive API access and board access.

Q: Am I able to setup the integration myself?

No, all integrations are completed by our in-house integrations team that specializes in setting up integrations with Monday.com.

Common Issues & FAQ

Q: How quickly are updates synchronized?

A: Both order creation and status updates sync every 5 minutes.

Q: Can we customize which fields are updated?

A: Yes, we can configure which fields receive updates based on your board layout.

Q: What happens if a board format changes?

A: Please contact us before making changes to shipping-related columns, as this may require integration adjustments.
