MYOB Acumatica (Advanced) Integration


Overview

We offer the following types of integrations with MYOB Acumatica (Advanced):

  • Order Syncing - the automated pushing of shipments from MYOB Acumatica into MachShip.
  • Live Pricing - the automatic calculation of shipping rates for sales orders and quotes based on line items.

You are not required to setup both integrations - it is not uncommon for customers to only opt for one of these integration types in their setup.

Order Syncing Integration

Order Syncing Workflow

  1. We check MYOB Acumatica for newly created shipments in the 'Open' status
    • Optionally filter By Warehouse, or Ship Via method
    • Status filter can be adjusted to suit your workflow
  2. We create a pending consignment in MachShip for each MYOB Acumatica shipment with:
    • Warehouse and shipping details
    • Order and shipment numbers as references
    • Shipment SKUs or Packages can be mapped as cartons
    • Ship Via can be mapped to pre-select the carrier
  3. Order is picked and packed by warehouse
  4. Warehouse team either:
    • Opens MachShip and searches for the order using MYOB Acumatica shipment number
  5. Warehouse team input package dimensions and weights (unless using pre-defined boxes)
  6. Warehouse team select a carrier service, or simply use cheapest
  7. Once consignment manifested, we update MYOB Acumatica with:
    • Selected Carrier as Ship Via
    • Freight Cost
    • Carrier/Service as package description
    • Consignment ID on ref number 1
    • Tracking link on ref number 2
    • Consignment ID on Tracking Number
  8. Shipment is marked as confirmed

Order Syncing FAQs

Q: Can you map our products to specific box sizes?

A: Yes, we can map SKUs directly to MachShip as boxes if you ship products in pre-defined boxes.

Q: Can you integrate with our WMS system?

A: Yes, if you're using add-ons like Evexso that act as a WMS and pick/packing interface, users can complete their pick/pack process without needing to access MachShip directly.

Q: Can you filter which shipments are synced?

A: Yes, we can filter shipments based on warehouse, Ship Via method, status, and other custom criteria to match your workflow.

Live Pricing Integration

Live Pricing Workflow

  1. User creates or opens a Sales Order or Sales Quote in MYOB Acumatica
  2. User checks the "Quote in MachShip" checkbox
  3. When the order/quote is saved:
    • We automatically generate packages based on the line items using configured packing rules
    • Calculate shipping rates from your carriers
    • Write the best available rate back to the order/quote
  4. The shipping cost is automatically added to the order/quote without requiring any additional user interaction

Live Pricing FAQs

Q: How are packages calculated from line items?

A: We use our Packing Rules to automatically group line items into appropriate packages based on your configuration.

Q: Can users see all available carrier options?

A: The live pricing integration automatically selects the best rate based on your configuration. If users need to see all carrier options, they can use MachShip directly.

Important Info

  • The integration supports multiple shipments per sales order
  • Integration deployment does not interfere with existing integrations
  • We require an API-enabled user account with appropriate permissions for setup

MYOB Acumatica FAQs

Q: How quickly are changes synchronized?

A: By default, we check for updates every 5 minutes. For instant updates, you can register our webhook URL in your MYOB Acumatica configuration.

Q: Can the integration be customized for our specific needs?

A: Yes, we have extensive customization capabilities including filters, field mappings, and workflow adjustments. Contact our integrations team with your requirements.

Q: Can we use different packing rules for different types of orders?

A: Yes, we can configure different packing rules based on order types, warehouses, or other criteria to match your shipping requirements.

Integration Setup Process

All integrations are completed by our in-house integrations team that specializes in setting up integrations with MYOB Acumatica.

The process for getting your integration setup is:

  1. Scoping - Reach out to our integrations team at clientintegrations@machship.com - note, if you're using MachShip via a broker, please include the account manager in CC.

Our specialist integrations team will work with you to confirm the scope of your integration and ensure it will perform how you expect.

  1. Approval - From there, you will be provided with a quote for any associated integration implementation costs for approval.

  2. Implementation - Once approved, implementation will begin. We will send a request for details, and a how-to guide.

  3. Handover & Testing - Once completed, we will let you know and you can conduct your own testing to confirm everything is working as expected.

Setup FAQs

Q: How long does it take to setup my integration?

Most MYOB Acumatica integrations can be setup inside of 2-3 business days from when we receive API access.

Q: Am I able to setup the integration myself?

We do not currently offer self-setup for our integrations due to the amount of customisation and testing required when linking your integration to your MachShip account.

Q: My requirements differ from what you've laid out, can you customise the integration?

We do have the ability to customise our integrations for each client to a large degree.
